Project management and implementation services

We are facilitators, bridging the gap between your business and the systems integrator. We bring the structure, capability and capacity many organisations don’t have internally.
Let’s transform your systems together

System implementations don’t fail because of the technology. They fail in the gap between what the vendor delivers and what your business needs to do.

For middle market organisations, that often means:

  • Defining requirements
  • Cleansing data
  • Updating processes
  • Supporting testing
  • Managing change
  • Making critical decisions while running the business

Most Systems Integrators focus on deploying the solution. Success depends on everything around it, especially helping your people navigate and adopt change.

When implementations break down

Typical gaps we see in mid-market implementations:

Where the gap sits What typically happens
Business ownership No clear internal ownership of process design or decisions
Data readiness Data cleansing, mapping, and ownership underestimated
Testing (UAT) Business lacks time/structure → defects missed until go-live
Change and adoption Training is rushed or generic → low adoption
Vendor management SI drives agenda; client lacks leverage or visibility
Resourcing Key business SMEs unavailable or overstretched
Decision making Delays create cost overruns and timeline slippage

Our focus is on bridging these gaps, to help your implementation succeed.

We are facilitators, bridging the gap between your business and the systems integrator. We bring the structure, capability and capacity many organisations don’t have internally, ensuring:

  • Your business is ready
  • Your decisions are informed and timely
  • Your data, processes and people are aligned
  • Your vendor is accountable

So the implementation delivers real outcomes, not just a technical go-live.

How we deliver successful system implementations

Our approach is grounded in your business needs, not just technical requirements. We start by understanding what decisions the system needs to support. That focus shapes solution design, governance and delivery, ensuring technology enables the business rather than disrupting it.

We are hands on, adopting practical delivery plans, managing vendors, establishing fit for purpose governance, and supporting build, test, go live and adoption to keep momentum and reduce delivery risk. Because a successful implementation isn’t measured by go live alone. It’s measured by whether the system is trusted, adopted and used to make
better decisions.

We support the parts of the implementation that are critical – and often underdone – including:

  • Business readiness and mobilisation
  • Requirements definition and process design
  • Data migration and execution
  • UAT strategy, coordination and execution
  • Change management and adoption
  • Project governance and vendor management

Often, implementation failures aren’t the fault of the system – but a result of everything the business was expected to do, but wasn’t supported to deliver.

Case study Aged care

The client’s challenge

A large aged care provider was seeking to transform its time, attendance, rostering and payroll processes to better use its nationwide network of medical and allied health staff.

How we helped

Pitcher Partners provided project management and had overall responsibility for the roll-out. This included change management strategy, UAT strategy and execution, business process improvement and alignment with the agreed solution, project assurance and governance, and developing business analytics.

How the client benefited

We provided a workforce management solution which included electronic time recording to accurately calculate overtime, loadings and penalties. The client was able to deliver further efficiencies in staff and agency costs while maintaining a high level of care.

Case study Research institute

The client’s challenge

A major research institute needed to streamline their operations and reduce researchers’ time on manual administrative tasks. They wanted a fully integrated IT solution to improve their research governance, data integrity and project management.

How we helped

Pre-implementation, we developed a comprehensive set of requirements and performed a solution fit/gap analysis, conducted commercial negotiations with the vendor, developed a project management plan and business case. With implementation, we were the project manager with overall accountability for delivery, developed and executed the change management strategy, and developed and executed the test strategy and data migration strategy.

How the client benefited

We worked collaboratively with the vendor throughout the implementation, delivering the research management solution within budget and on time. The client’s researchers are now spending less time on administrative activities and more time conducting research.
