About the role
As Facilities Support Administrator your role is to support the Facilities Manager in the successful delivery of facility services and maintenance across all Pitcher Partners locations in Melbourne.
The position involves a diverse range of tasks including preventative and reactive maintenance works, vendor coordination, room setups, ad hoc general handyman duties, compliance activities and administration tasks.
Your purpose is to ensure a seamless delivery of services, ensuring the smooth operation and maintenance of the company’s physical environment, that is consistent with Pitcher Partners brand and reputation.
Key responsibilities
- Assist the Facilities Manager to ensure all premises comply with statutory requirements
- Assist in managing daily operations of office facilities, including cleaning, security and maintenance
- Support the coordination of and carry out office moves, space allocation and office layout changes, including after hour or weekend work, as required
- Monitor building systems (HVAC, electrical, plumbing) and identify and escalate issues as needed
- Resolve TopDesk requests including but not limited to car park access, after hours utilities, lobby signage, remote office access
- Assist with the set-up and maintenance of the presentation, training and meeting rooms
- Liaise with external service providers for repairs, maintenance, and scheduled services
- Ensure daily cleaning schedule is completed
- Support workplace ergonomic assessments and assist with ergonomic issues
- Maintain records of inspections, maintenance and compliance documentation
- Track and file contracts, insurance certificates and service agreements and assist in monitoring facilities team budget and expenses
- Update Facilities Manual as required
- Provide accurate reporting to the Facility Manager on a regular basis

- Experience within a facilities or site maintenance role
- Proficiency using MS Office including Teams and Microsoft Outlook
- Knowledge of Health, Safety and Environmental Legislation, particularly within an office environment
